Job Description:

Reporting directly to the Office Manager and Sales Director

Key Responsibilities

Customer Service

  • Answering telephone calls from customers and suppliers
  • Logging of telephone calls onto internal system
  • Monthly reporting of technical incidents logged and emailing to customers

Banking

  • Paying in cheques, maintenance and updating of paying in electronic paying in book

Accounts

  • Daily data entry using SAGE
  • Customer & supplier invoicing and payment processing
  • Dealing / escalating customer & supplier invoice/payment queries
  • Printing, filing and management of supplier invoices
  • Organising supplier invoices for payment

General

  • General office administration duties including ordering office supplies and distributing post

Future Responsibilities

Sales

  • Providing quotations for ad-hoc services requested by clients
  • Respond to and follow up sales enquiries using appropriate methods
  • Preparing and sending out customer contract and service renewals on a monthly basis

Purchasing

  • Purchasing equipment and supplies from suppliers and distributors
  • Monitoring and recording all supplier purchases onto database

Personal Specification

This role requires the following skills:

  • 5 x GCSE Grade A-C Including English & Maths
  • 2 x A - Levels
  • Excellent all round communication skills / ability to answer telephone calls in a professional manner
  • Excellent work ethic
  • Excellent time keeping
  • Excellent time management skills
  • Excellent organisation skills
  • Ability to work to deadlines and under pressure
